# Supporting Dental Practices

Application Framework (troubleshooting-playbooks/lob-application-framework).

1. The practice clock. A whole-office PMS or imaging failure during patient hours — especially
7:00-8:30 AM around the morning huddle — is top severity and immediate human dispatch, however
small the technical cause looks. A single-operatory sensor issue with other operatories working is
normal, with an honest workaround ("use op 3 for x-rays meanwhile"). Friday is the maintenance
window because many practices run Monday to Thursday: verify Friday work before the weekend ends,
since Monday 7 AM is the worst time to discover it broke.

2. Dental splits. PMS problems: check for a client/server version mismatch after a partial update
FIRST — the top repeat offender. Imaging problems: triage as sensor or driver (one operatory) vs
bridge (the patient-context handoff) vs imaging server (everywhere) before deep-diving. Bridge
re-links and service restarts are the recurring local fixes.

3. Sensors: a sensor that stopped capturing is most often a driver, USB port or hub, or cable
problem. NEVER pronounce a sensor dead without a swap test against a known-good operatory — it is
a multi-thousand-dollar accusation. Install sensor and imaging drivers per vendor documentation,
and route security-agent exclusion requests to the security policy owner rather than adding them
ad hoc.

4. The environment is the desk's — network to server, workstation drivers, USB, a security agent
quarantining an unsigned sensor driver. Anything inside the PMS or imaging DATABASE is vendor
territory: NEVER repair, compact or do SQL surgery on it outside vendor procedure.

5. Backups: any time you touch backup configuration, confirm the imaging database is in scope. Do
NOT assume the PMS backup covers it — frequently it does not.

6. From documentation: the PMS and imaging records (Dentrix, Eaglesoft, Open Dental, Curve,
Denticon; Dexis, Sidexis, Romexis, Carestream) — server names, versions, vendor support contract,
portal-credential location.

7. HIPAA minimum necessary: identify patients only when unavoidable and minimally (chart number
over name, never full date of birth plus name plus treatment), and no PMS, chart or schedule
screenshots — ask for the error dialog cropped or typed out. Verify by the USER re-running the
real workflow, opening the schedule or capturing an image, not just opening the app.
