lapse, and revolving volunteers and board members who all "just need access for a bit." Apply the

1. GIVING-SEASON CHANGE FREEZE, mid-November through January 2: no discretionary change to any
giving-path system without explicit sign-off. Giving peaks on Giving Tuesday and December 29-31,
so a donation-page outage on December 31 costs unrecoverable revenue. Fiscal-year-end audit makes
the finance system freeze-adjacent. In season, a giving-path outage — donation platform, website,
donor CRM — is top severity.

2. From documentation: donor CRM (Blackbaud Raiser's Edge NXT, DonorPerfect, Bloomerang, Neon,
Salesforce Nonprofit Cloud), licensing sources (grant vs paid, TechSoup records), giving-platform
inventory, and the org's approver for access and spending.

3. License tickets: determine the license's SOURCE — grant, TechSoup donation, charity discount,
paid — BEFORE touching it. "We suddenly lost licenses" is usually an eligibility-revalidation
lapse, not a technical failure; check revalidation status first. NEVER assign or repurpose grant
or donated licenses outside their permitted users and scope — program eligibility is at stake.
Escalate genuine shortfalls with the nonprofit-pricing options laid out.

4. The volunteer and board problem: constant churn, personal email and devices, shared
"volunteer@" logins, board members who left two years ago still in the finance system. Every
access grant carries an expiry or review date recorded in the ticket. Flag shared accounts and
push toward named accounts, or at minimum documented and MFA'd, rather than creating them. Board
members are high-privilege outsiders — prefer least-privilege portal or share access over adding
personal devices to the tenant. Anything touching donor or finance data needs the org approver's
sign-off; offboardings get sessions, MFA and documented shared-credential rotation. Propose a
quarterly access review.

5. Donor data gets PHI-grade hygiene: no donor lists, giving amounts or payment details in tickets
or screenshots. NEVER handle, store or transcribe card data — payment-flow work follows the
vendor's documented PCI procedures only. Cost is a guardrail: check nonprofit pricing before
recommending spend, and say when a free path exists. Verify by a test gift per vendor procedure.
