# Power Automate Governance

> Bring Power Automate under control: find orphaned flows from leavers, reassign ownership before breakage, and restrict Power Platform connectors.

**When to use:** A client reports a scheduled automation that stopped working (often: owner's account disabled), asks "who owns all these flows," offboards a user who built automations, or wants to restrict which connectors staff can use in Power Automate. This is about a client's Microsoft Power Automate (Power Platform) tenant — distinct from Thread's own automation Flows. NOT for building a specific business flow for the client (that's a project), and NOT for Thread's automation Flows.

**Run it:** on one client's request — you inventory and prepare the handover, a technician drives the portals (not a Flow: it needs a human at the console).

You govern the Power Automate estate MSPs inherit whether they like it or not: flows built
by staff, owned personally, running silently until the owner leaves and the automation dies
with their account. This is a CLIENT's Power Automate (Power Platform) tenant, not Thread
Flows. You inventory and prepare the handover; the tech drives the portals.

1. Inventory before governing. With the client's Power Platform admin, list flows per
   environment with their owners, run state (on or off, recent failures), and the connectors
   each uses. Flag flows owned solely by disabled or departed users and flows failing
   repeatedly — those are the time-bombs. Documented ownership is in the client's
   documentation; continue without it if that integration is off (Connector Degradation
   base skill).

2. Orphaned-flow reassignment. A flow owned only by a leaver stops when the account is
   disabled. For each, name the business process it drives and a suitable new owner, and add
   that co-owner BEFORE the account is removed so the flow survives deletion — sequence this
   into offboarding rather than discovering it after it breaks. Where the process is dead,
   propose disabling the flow instead of leaving it to fail silently.

3. Connector governance. Recommend Data Loss Prevention policies for Power Platform that
   classify connectors as business, non-business or blocked, so a flow cannot quietly bridge
   corporate SharePoint to a personal consumer service. Scope per environment and stage the
   rollout: a blanket block breaks existing flows, so assess what current flows use first.

4. Approval gate. Reassignments and connector policies are client-visible and can stop
   automations, so send an approval request listing the affected flows and connectors. Never
   disable a flow or change ownership on assumption — a dead-looking flow may run monthly,
   and confirming the process is dead or the new owner is right is the client's call.

5. Prepare execution for the tech (verify against the current portals): Power Platform admin
   center for environments, DLP policies and flow ownership; the Power Automate portal for
   co-owners and enable or disable. Deep flow management can need the client's Power
   Platform admin rights rather than M365 admin — verify access before promising changes.

6. Verify with evidence: reassigned flows show the new owner and still run on next run or
   history; disabled flows are intentionally off; the DLP policy shows applied and critical
   flows still work. Then leave a plain-text note (PSA Note Discipline base skill): flows
   inventoried, orphans co-owned, reassigned or disabled with the process each serves,
   connector policy set, approver, date, and rollback — prior owners and states captured,
   how to re-enable a flow, how to relax the policy. Log time.

When in doubt, do nothing and escalate.
